Reduction of Administration thanks to Modernization of Examination Management
VBV creates the foundations and framework conditions for vocational training and inter company education and training for insurance-specific professions. Together with over 800 experts active in the insurance industry and its educational partners, they implement the conditions. VBV employs around 23 persons, among other things, for the development of educational materials and teaching aids for the various target groups and the organization of examinations and their implementation.
Initial Situation
The organization and administration of the quarterly agent checks were previously done using MS Access and Excel and a lot of manual work. This made the process very time-consuming and error prone. Therefore, a new system is to be developed with the aim of reducing the administrative effort per examination session and increasing the number of examination sessions per year by 50%. In a second phase, the system should also be able to handle the examination administration for the HBB, so that an efficiency gain can also be achieved here through the integrated system.
Solution
The web application EDU Manager, designed and implemented by isolutions, supports VBV in the organization and administration of the certification examination «Versicherungsvermittler VBV».
This includes the organization of the examination sessions, the registration of the candidates via an online account, the scheduling of the invigilators and experts (incl. availability requests) as well as the examination evaluation incl. provision of the certificates. Communication with candidates and experts takes place exclusively via the EDU Manager. This affects the examination registration, the availability survey, invitations as well as the provision of the examination results.
Benefits
- The productive introduction of the exam registration has massively reduced the administrative effort. The exam session for registration can now be set up within half a day instead of two days.
- Various outdated applications and manually performed process steps could be merged into a modern web app, allowing the entire process to be carried out much more efficiently today with much higher data quality.
- With the introduction of the EDU Manger application, VBV was able to greatly optimize the administration process of the audit administration.
- Valuable insights can be gained from the data analyses, which can be used to further improve the processes.
