From Manual Processes to Digital Efficiency
Initial Situation
Lunch-Check faced the challenge of transitioning from a legacy paper voucher system to digital cards. Existing processes were largely manual, resulting in long processing times and limited scalability. To address these challenges, various software solutions, including Salesforce and Microsoft Dynamics 365, were evaluated.
Microsoft’s platform approach and isolutions as an implementation partner stood out. The isolutions team took the time to understand Lunch-Check’s business model, enabling them to act as a true sparring partner throughout the digital transformation.
Solution
In a joint workshop, the team was prepared for the CRM project and actively involved from the outset. Continuous change management, including team involvement and transparent communication throughout the project, was essential to its success.
The first phase focused on establishing a solid foundation with Microsoft Dynamics 365 Sales. Key systems, such as billing, were integrated, master data management was transferred to the CRM, and the sales team was brought on board.
Ensuring high data quality from the beginning was particularly important, allowing employees to experience immediate benefits and develop a positive perception of the new solution.
Subsequently, additional processes were optimised. By integrating the webshop, the ordering process was automated and customer onboarding was improved.
As a result, the average processing time per order was reduced from approximately 15 minutes to just 3 minutes. With more than 100 orders per day during peak season, this represented a time saving of approximately 80%, freeing up capacity for more efficient and customer-centric service.
Only after these processes had been digitalised was marketing automation introduced using Microsoft Dynamics 365 Customer Insights – Journeys, enabling a more proactive approach to market development. Data processed through the integrated Power BI solution helps identify market opportunities and address them effectively. For example, event management for the annual General Assembly is now supported by the CRM. From invitations and registrations to follow-up activities, all relevant information is managed centrally.
Following further improvements to market development, an additional credit assessment system was integrated to automate the onboarding process and replace manual tasks. Relevant data is transferred to the corresponding platform via an interface, which then returns the assessment status.
Once new members are approved in Dynamics 365, their relevant data is automatically published to the website via an interface, keeping the restaurant directory up to date.
In the next phase, customer service will be further professionalised with Microsoft Dynamics 365 Customer Service. Automatic ticket creation and a structured case management interface will enable faster and more effective responses to customer enquiries. Customer service representatives will also have immediate access to a customer's previous and ongoing support tickets during interactions.
The seamless integration of Dynamics 365 Customer Insights, Dynamics 365 Sales and Dynamics 365 Customer Service creates a comprehensive 360-degree customer view for Lunch-Check, delivering tangible benefits to both customers and participating members.
Since the collaboration with isolutions began in 2021, Lunch-Check has benefited from an average revenue growth of 6% while maintaining the same team size. As a result, revenue increased from CHF 120 million in 2021 to CHF 150 million in 2024.
