What is the Copilot Facilitator?

The Facilitator is an AI-powered agent that supports you in moderating and structuring Teams meetings. Unlike the classic Copilot, it acts visibly for all internal participants and brings structure, clarity, and momentum to collaboration.

Features at a glance

  • Agenda focus: If an agenda is included in the calendar entry, the Facilitator automatically follows it – a real advantage for structured meetings.
  • Time management: Visual markers and chat reminders help keep the meeting on schedule.
  • Live notes: AI-generated notes in a Loop component, saved in the organizer’s OneDrive.
  • Task detection: Identifies tasks during the conversation and creates them directly in Planner.
  • Document creation: On request, generates a Word or Loop document based on the meeting discussion.
  • Intelligent Recap: After the meeting, notes appear in the Recap tab and can be edited and shared.
  • Language setting: When activating the Facilitator, the spoken meeting language must be selected. Notes are only created for the portion of the meeting conducted in that language.

Requirements & Visibility

  • Internal visibility only: The Facilitator is visible only to people within the same Microsoft 365 tenant. External guests cannot see the notes or AI interactions.
  • Copilot license required: Using the Facilitator requires an active Microsoft 365 Copilot license. Unlicensed internal users can view the notes but cannot actively interact with the agent.
  • Manual activation: The Facilitator must be enabled either when setting up the meeting or directly during the meeting.
  • Loop experience: The Loop experience in Teams must be enabled tenant-wide for the Facilitator to function.
  • Admin control: Admins can enable or disable the Facilitator for specific groups or the entire tenant via app policies.
